I  IMPORTANT INFORMATION

Online application is mandatory for all applicants. Applications are accepted on all working days from 0930 to 1230 hrs with prior appointment. Processing of the application will start from the date of submission and not from the date of its entry online. Once the online application form is submitted, it will prompt the applicant to take a print-out of the online registered application form generated by the system in PDF format. The hard copy of the application form has to be submitted at the Embassy along with required documents. Before submission, applicant should ensure that the application is signed and photograph properly affixed on it and the prior appointment for submission of application is taken. It takes approximately 3 weeks for issuance of Passport from the date of submission of application at the Embassy under normal circumstances. The applicant should submit the application in person for identification; however minors up to the age of 5 are exempted from this requirement. Application for renewal of passport can be submitted if the final validity of the passport is less than one year.

Those Indian citizens who are acquiring citizenship/passport of another country should immediately surrender their Indian passport to the Indian Embassy/Consulate by signing the citizenship renunciation form. Applicants are advised to ensure that their applications are complete in all respects; that all columns are correctly and legibly filled up and no column is left blank or unfilled or vaguely filled with a dash, tick, etc. All signatures in the application should be with ballpoint pen of black or blue ink. Those who cannot affix their signatures like infants, minors or illiterate should put their thumb impression in the place of signature.

It is an offence under the Passport Act 1967 to furnish false information in the application. Passport facilities could be denied on grounds of suppression of material information, submission of incorrect particulars, wilful damage/loss of passport or for unauthorized change/tampering in Passport. The Passport can be impounded or revoked for violation of one or more of the provisions of the Passport Act. Also, it is an offence to hold more than one valid passport at a time.

Your passport is a valuable document. It should always be in your custody or in the custody of a person duly authorised by you. Passport should not be sent out of the country of residence by post. In case of loss or damage, the fact and circumstances should be immediately reported to the nearest Indian Mission and the local police. In order to expedite issue of a new passport in such cases, you are advised to keep a photocopy or preferably a scanned copy of the data pages and valid visas in your passport.

II   DOCUMENTS REQUIRED

For renewal/reissue of passport, applicants are required to submit with passport application, original passport with photocopy of visa page, first and last page of the passport and/or any other page(s) of the passport in case there is any observation/endorsement written on it.

 For issue of first time passport for new-born child, please enclose (i) birth certificate; (ii) passports of both parents; (iii) marriage certificate of parents; and (iv) application signed by both parents.

For re-issue of passport after loss of current passport, copies of FIR lodged with the local police and first and last pages of lost passport and valid visa for Vietnam will be required. In case of damage, original damaged passport, copies of first and last pages of damaged passport and valid visa for Vietnam will be required.

In the event passport has expired more than six months prior to the submission of application for new passport, the application should be supported by a sworn affidavit explaining the circumstances and the reasons for late renewal. An extra fee will be charged for the Sworn Affidavit in such cases.

For re-issue of passport to include spouse name, original passport and photocopies applicant’s passport, spouse’s passport, marriage certificate duly attested by the concerned state government authorities and by Ministry of External Affairs, New Delhi and copies of visas/residence permit in Vietnam.

For re-issue of passport to change the address, documentary proof such as PAN Card, ADHAAR Card or Ration Card etc both original and photocopies along with original passport and photocopies of its first & last pages and visa/residence permit in Vietnam. 

III.     PASSPORT FEE 

Ordinary passport (36 pages) US$ 78/-

Ordinary Passport (Jumbo booklet/60 pages) US$103/-

Ordinary Passport for minors (under 18 years old) valid for 5 years or till the date of completion of 18 years whichever is earlier US$53/-

The fee is received only in cash in US Dollar at the counter. Payment by any other means will not be accepted.

 

IV      PROCESSING TIME

The normal processing time for passports is 15 working days. The applicant will be contacted either by telephone or e-mail by the Embassy once the passport is ready for delivery.  Applicants should invariably mention their or e-mail or correct local mobile number at which Embassy can contact them.

Application for Tatkal Passport will be accepted with an additional Tatkal Fee of US$150. The processing time for Tatkal Passport is 7 working days.

V      GUIDELINES FOR PHOTOGRAPHS

Two coloured photographs of 2x2 inch measurement.

The image must have adequate brightness and contrast;

The skin tone should be natural. In case of over-exposure or under-exposure of the photo, the skin is either too dark or too light, photo will not be Acceptable;

It should show a close up of the head and (partial) shoulders;

The image should be straight looking and centred;

Face should be in sharp focus and clear with no ink marks/creases/lines;

The face (from forehead edge to bottom of chin) should be 70 to 80% of the photo or one inch height;

The eyes must be open and no hair obscuring the face;

Prescription glasses if worn should be clear and thin framed and should not have flash reflection or obscure the eyes;

Head coverings, hair, head-dress or facial ornaments should not obscure the face;

The photo must have plain light background;

There must be no other people or object in the photo;

The lighting must be uniform with no shadows on the face or behind;

Red eye photos are not allowed;
